To ensure that inventory records stay in compliance with State policy, we are updating our policy on equipment considered as “Non-Taggable Assets”.

Property Control’s definition of a Non-Taggable Asset is an “In Service” asset greater than $3,000 that cannot be tagged due to size, environment (location), tag unseen, surface, etc.

Cost Centers are to adhere to the following procedure for tracking Non-Taggable Assets:

  • Take pictures of the asset(s). Pictures should be of an image of the equipment, CAE inventory tag number, manufacturer, serial and model number.
  • Verify the serial and model number on the asset(s) to match the information provided on the invoice (if applicable). This information will need to be entered in Workday for inventory and reconciling equipment correctly.
  • Affix the CAE tag number issued to a printed copy of the asset record from Workday.
  • Retain a copy of the asset picture(s) and printed inventory information for your inventory records to have on file.

NOTE: If a Non-Taggable Asset is selected during a Property Control or State audit, you will be asked to present the pictures and printed record.

Please be advised, there is “Taggable Asset” field found on the View Business Asset (Additional Data) tab in Workday to indicate if an asset can be tagged. The Sub-location Detail field can also be used to add more information for the asset(s) (location, room, description, etc.)
